Optimization and automation of procurement in the lifecycle service

Krones AG is a leading global manufacturer of bottling and packaging systems and supports its customers with the Krones Lifecycle Service for spare parts and retrofits. To reduce manual tasks in operational procurement and identify bottlenecks and process delays, existing procurement processes were to be specifically optimized and automated using process mining. Rothbaum Consulting analyzed the processes, identified and prioritized suitable use cases, and implemented them using Celonis Action Flows. In addition, reports were created to evaluate the automation initiatives, and analyses of supplier performance were developed.

With the help of Celonis, it has been possible to create automation in the area of operational purchasing, which was previously not possible for LCS in the SAP standard.

Optimizing Operational Procurement Processes Using Data

Challenge

Operational procurement processes at Krones Lifecycle Service were characterized by manual tasks and process delays. The goal was to identify opportunities for automation, uncover bottlenecks, and improve workflows between operational and strategic procurement.

Implementation

First, the operational processes were analyzed for manual tasks and opportunities for automation, and suitable use cases were prioritized. Next, the required data and rules for the action flows were defined; these were initially tested in a sub-area and then gradually rolled out across the entire business. In addition, a reporting system was set up to evaluate the action flows.

Results

Automated order generation in SAP reduced manual work by up to 100 minutes per day. In addition, process delays were analyzed, automatic notifications for order delays were set up, and a supplier data sheet containing relevant KPIs for all active suppliers was created.

Detailed Results

  • Automated order generation in SAP reduces manual work by up to 100 minutes per day.
  • Delays in the procurement process are automatically detected, and the sales department is notified early on if they affect the customer’s delivery date.
  • The BANF process between operational and strategic procurement was analyzed to identify delays and opportunities to reduce lead time.
  • A supplier data sheet compiles relevant KPIs for all active suppliers and enables the evaluation of on-time delivery and delivery quality.
  • Following a test phase, the Action Flows were gradually rolled out across the entire business and integrated with a reporting system.
